MO-AHEAD Board Meeting

June 24-25, 2008

Members Present:          Adam Meyer, Jennifer Argo, Suelaine Matthews, Amy Frieling, Jan Eudaley, Julie Bunch, Tabitha Haynes

Members Absent:           Kim Fernandes, Karen Blessman, Maureen Ottenlips

 

March Minutes:

  • Approved

 Tall Oaks Wrap Up:

  • Evaluations

o   We received a 67% response rate

  • Other Thoughts

o   Jan suggested a break-out session for new people

o   Consider a “new providers” workshop for people with less than three years experience

o   Future “online accessibility” sessions should be broken down by experience level so that it is easily understood by newer people

o   Need to add refund deadline to registration

o   Keep the one day fee

o   Consider using the web/email to provide handouts rather than printing them to hand-out at the conference such as National AHEAD does

o   Consider other locations for the conference and get a feel for what the general membership thinks

Treasurer’s Report:

  • Amy provided a budget report to the board

National AHEAD Conference:

  • Kim Fernandes is going to the National AHEAD conference in Reno as a board representative
     

  • Suelaine Matthews will be presenting on Banner
     

  •  Julie Bunch and Grady will be presenting at the conference
     

  • Jennifer Argo will be attending the conference

MO-AHEAD Web Site:

  • Current Status

o   Most everything is on the web site; there are a few things that need to be updated/added

o   We have almost half of the profile updates submitted

  • Email Addresses

o   Email addresses will be added for President, Web Coordinator, Newsletter, and a general email for MOAHEAD. Each email address will be forwarded to its respective board member, with the general email address going to the President.

o   As needed, email addresses can be created  (ex., conference)

  • What to Add to It

o   Tabitha will check into adding a counter to the web site to track number of visitors

o   Tabitha will add a cleaned-up version of the minutes to the web site. The minutes will be sent to all board members for approval before adding.

o   Tabitha will add “How to Host a Transition Training” to the web. Suelaine will email this to Tabitha

o   Tabitha will add a printable guidebook to the web

  • Additional Information

o   Tabitha, or a designated board member, will send out monthly emails to general membership highlighting a feature of the web site as an attempt to increase usage

o   Jennifer will add a “web site features” section to the newsletter

o   Tabitha will add the Instructor Notification training and Banner presentation to the web site. Suelaine will send these items to Tabitha.

o   Tabitha will send an email to general membership requesting information that can be added to the web site for those who want to share what they are doing – examples include:  forms, Power Point presentations, white papers, research.

o   We will let general membership know that submissions are subject to review. Projects submitted for web posting will be submitted to Tabitha for review. If there is question about posting, Tabitha will share with board for final approval.

o   LD Testing resources will be added to the web site. Jan, Suelaine, and Jennifer will send Tabitha a list of resources in their area. They will contact each agency to make sure we have updated contact information and permission to add them to the web page.

o    We will provide contact information for each agency. We will add a disclaimer to the web site stating that MOAHEAD is not endorsing any particular testing school/agency.

  • What Now for MO-AHEAD
     

  • What are the member benefits?

o   Listserv

o   Website

o   Conference

o   Transition trainings

  • Other benefits provided by National AHEAD?

o   Grants/scholarships

  • Member Support

o   Adam will check with affiliate groups to see who provides scholarships and grants and how best to legally go about this

o   Examples of grants/scholarships discussed include: assistance with AHEAD Conference fees, AT equipment, fees for workshops provided by MOAHEAD

  • One-day Conferences

o   Adam will check on the possibility of co-hosting the upcoming Asperger’s workshop with Westminster

o   The board will consider other possible workshops once a decision has been made on the Westminster collaboration

o   Consider a state-wide mixer during/after the Asperger’s workshop

o   Julie and Suelaine are interested in working on a support staff workshop

o   Morenet (www.more.net) may be a possibility for providing workshops online

o   Adam will create a survey for general membership to gauge the interests for workshops. The survey will include questions regarding number of staff members, topics of interest, possible locations, preferred method of deliver (in person or web delivery)

  • Transition Trainings

o   Julie and Suelaine were scheduled to provide training for MO University for Science and Technology in June but it will be rescheduled for a possible October date.

o   Suelaine will send “How to Host a Transition Training” to Tabitha to put on the web

o   Budget for transition trainings and grants/scholarships need to be considered

o   $2800 was spend in 2007-2008 for transition trainings – this included travel and materials

o   Any trainings scheduled after June 25, 2008 will be charged a $25 fee per person in an effort to recover material fees. This will be done on a trial basis and revisited by the board at a later date

o   It costs approximately $10 to print one Guidebook

o   Tabitha will add a printable Guidebook to the web site

o   Jennifer will host a transition training on her campus during Spring 09

  • Legislative Involvement

o   See if Maureen is interested in doing legislative things

o   We need to be cautious about what we do and how we do it based on AHEAD’s stance

o   We will continue this on to the next agenda

  • Future Meeting Locations

  • There was discussion about rotating campuses
     

  • We can consider a winter tele-conference, weather pending
     

  • Upcoming Meeting Dates and Locations:

o   November 6th and 7th, 2008 – Wildwood

o   January 29th and 30th, 2009 – Springfield (or tele-conference if needed)

o   April, 2009 – Tall Oaks

o   June 25th and 26th, 2009 – Kansas City

  • Additional Information

  • The board will present gifts to Jan ($75 for flowers and gift card) and Lindy ($30 gift card) for their service
     

  • Consider an institutional membership to be in place by January 2009. The benefit of doing this is that support staff would be included.
     

  • In order to implement an institutional membership, we will need to revisit and update the by-laws.
     

  • Adam, Suelaine, and Tabitha have offered to help with the by-laws
     

  • In an effort to expand membership, Amy is going to send postcards to (mail and electronic) to institutions to raise awareness about MOAHEAD
     

  • Jennifer is looking for newsletter information
